Our Commitment
The European Chatbot & Conversational AI Summit is dedicated to fostering a safe, inclusive, and harassment-free environment for all participants, whether attending onsite, online, or in a hybrid capacity.
Scope of the Code of Conduct
All participants are expected to adhere to this Code of Conduct at all conference and workshop venues, related social events, and during virtual sessions on our online platforms. This Code of Conduct applies to all individuals participating in the summit, including delegates, VIP guests, speakers, sponsors, exhibitors, suppliers, and venue staff.
What Constitutes Harassment
Harassment includes, but is not limited to, the following behaviours:
- Offensive verbal comments related to gender, gender identity or expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion, or technology choices.
- Display of sexual images in public spaces.
- Deliberate intimidation, stalking, following, harassing photography or recording.
- Sustained disruption of talks or other events.
- Inappropriate physical contact or unwelcome sexual attention.
Guidelines for All Participants (including online)
To maintain a productive and respectful environment, participants must follow these guidelines:
- Be respectful of others. Use common sense, kindness, and consideration.
- Refrain from demeaning, intimidating, discriminatory or harassing behaviour and speech.
- Avoid engaging in conflicts or arguments.
- Dress appropriately.
Expectations for Sponsors
Sponsors are required to comply with this Code of Conduct. This includes:
- Avoiding the use of sexualised images, activities, or materials.
- Refraining from offensive or inappropriate language or actions.
- Ensuring booth staff (including volunteers) do not wear sexualised clothing, uniforms, or costumes, nor create a sexualised environment.
Information for Presenters
Presenters who are uncertain about whether their materials align with this Code of Conduct should contact us at office@theeuropeanchatbot.com in advance of the event.
Enforcement of the Code of Conduct
Conversational and Generative AI Ltd. may take appropriate actions to address violations of this Code of Conduct, including but not limited to:
- Issuing warnings to participants.
- Removing participants from event venues or online platforms.
- Prohibiting participation in future events.
- Expelling participants from specific activities or sessions.
Participants asked to stop any inappropriate behaviour are expected to comply immediately. Violations may result in removal from the event without a refund, at the sole discretion of the organisers.
While we take all concerns seriously, we reserve the right to determine how to address reported incidents and may direct participants to other resources if necessary.
Reporting an Issue
If you experience or witness harassment or have any concerns, please contact a member of the event staff immediately. Staff can be identified by branded clothing or badges onsite or listed as organisers on our online platforms. Alternatively, you can email us at office@theeuropeanchatbot.com with your name, contact information, and a description of the incident.
Please note that the reporting mechanisms provided under this Code of Conduct are designed to address behaviours occurring during our events. For criminal activity or emergencies, please contact the appropriate local authorities.
